Legal Coordinator
About this role
For a leading global player in the fashion industry, based in Amsterdam, we’re looking for a highly organized and service-driven Legal Coordinator to support their international Legal Department. With your ability to navigate complex workflows, manage confidential processes, and keep operations running smoothly across multiple systems, you’ll play a key role in strengthening the backbone of this organizations's global legal function. Please note, this is a part-time role for 32 hours per week. The the deadline to apply is Thursday, November 20th at 12 noon.
The Team
The Legal Department provides strategic, operational, and administrative support to ensure the smooth functioning of global legal operations. The Legal Coordinator plays a vital role within the department, ensuring that processes run efficiently, correspondence is handled confidentially, and legal documentation is executed with precision.
Role and Responsibilities
- Manage confidential correspondence, prepare reports and presentations, take meeting minutes, and support daily operational needs of the Legal Leadership Team.
- Coordinate legal databases and systems (e-billing, Coupa, SAP, gCLM, Concur), including vendor communication and invoice processing.
- Organize the full lifecycle of legal document execution, including DocuSign workflows, wet-signature collection, notarizations, and legalizations.
- Serve as a key liaison with IT and Facilities, troubleshooting technical issues and ensuring smooth operational support for the team.
- Plan and execute internal and external events, such as team days, summits, digital meetings, manage venues, catering, IT setup, speakers, and logistics.
- Arrange meetings and manage calendars, including booking rooms, preparing materials, and coordinating in-person and virtual setups.
- Oversee onboarding for new colleagues, including ServiceNow requests, IT setup, access rights, equipment, and general settling-in support.
- Provide general administrative support such as office organization, mail handling, document filing, supply management, and coverage during colleagues’ leave.

The ideal candidate
- Previous experience in a similar role within an international legal department.
- Computer-literate with ability to work across multiple platforms and systems : Coupa, SimpleLegal, DocuSign Contract Management, SAP.
- Proven success interacting effectively at all levels of an organization and influencing stakeholders positively.
- Exceptional organizational, time-management, and task-management capabilities.
- Strong attention to detail with the ability to understand broader contexts.
- Excellent written and verbal English communication skills.
- Experience within fashion is a distinct advantage.
