Our global client in the executive search industry is looking for a Project Coordinator to join their growing, international team in Amsterdam. This is an exciting time to join the company as they are transitioning the office from a satellite office to the hub of Europe. This means that you will have a lot of opportunity and responsibility.
A team of three people work on each executive search role: a consultant, researcher and project coordinator. The consultant is the lead of the project and the person who closes the deal, the researcher does the research and the project coordinator organises all of the logistics and administration involved including dealing with stakeholders.
Job Profile for Project Coordinator
Responsibilities will include but not be limited to:
Project Support:
  • Manage varying numbers of projects, with differing levels of complexity, and potentially with a range of different practice groups
  • Strive to develop and improve internal delivery team communications and interactions; working as an extension of the consultant to get the best out of each process
  • Be a champion for quality and precision in project management; ensuring the output from the delivery team is both consistent and of an excellent calibre
  • Act as a reliable and primary channel for incoming communications for the Amsterdam team and provide excellent liaison in respect of candidates, clients, new business, and troubleshooting
  • Proof all internal and external communications and documentation, including but not limited to: appointment details, advertisements, proposal documents and process paperwork
  • Represent project management both internally and externally; be a role model; inspire and support team colleagues, set a positive tone for work delivery and contribute to a strong team spirit and work ethic
  • Show commitment to knowledge-management across the immediate team and the wider firm in order to ensure that best practice and innovations are shared
  • Ensure the efficient running and maintenance of our office space, including ordering supplies and managing facilities
  • Be a key asset in relation to training and developing of both new and more junior colleagues
  • Support the drive of initiatives across the team in collaboration with the Head of Project Management
  • Lead and develop new innovations within project management and administration
  • Engage with and lead on ‘special’ projects, as directed by the Head of Project Management
Support Head of Office/Business Unit’s Business Development:
  • Act as a primary channel for incoming communications for the Head of the Amsterdam team/lead consultant and provide excellent liaison in respect of potential clients, contacts new business, and troubleshooting
  • Act as an extension of the consultant when required, such as attending pitches, client process kick-off/briefing meetings in or outside the office; supporting in the timely production of process documents; account management; and appointment end game
  • Provide excellent support through driving business development activity and strategically managing the consultant’s diary
  • Organise business development meetings and events as relevant to consultants and/or team
  • Work alongside with consultants to arrange business development trips
  • Promote sales activity in the team through the development and management of effective market tracking and activity tool
Candidate Profile for Project Coordinator
  • Must be fluent in English, both written and spoken
  • Bachelor’s degree is preferred
  • 4+ years of relevant work experience
  • An aptitude for ‘effortless’ project management
  • A commercial mind-set and desire to work in an environment that proactively seeks out business development opportunities
  • A sense of responsibility and ownership in driving business development activity alongside client projects
  • Demonstrable interest in developing world-class administration
  • Excellent time-management skills; the ability to balance additional internal projects alongside the day to day role
  • A creative and flexible approach to project management and problem-solving
  • An openness to work collaboratively and to contribute to the development of a growing team
